How to stop double bookings at your hotel
A double booking means the same room is promised to two guests for the same night. It is almost never carelessness. It happens because the room is sold from more than one place and nobody sees all the places at once.

How it happens
- A guest walks in and takes the last room while a booking site is still showing it as available.
- A booking comes in by phone or WhatsApp and is written in a notebook, not in the calendar.
- The same room is listed on two booking sites, and each has its own calendar.
- A room is moved or a stay is extended, and the change is made in one place only.
Every one of these has the same root cause: more than one calendar.
What a double booking costs
You have to find another room, often somewhere else, at your own expense. You may lose the guest's trust and a bad review. Booking sites may also count a hotel's cancellations against it, so repeated problems can cost you future bookings. The money lost is usually larger than the price of the software that would have prevented it.
Five habits that stop it
- One calendar, and only one. Decide that the calendar in your property management system is the truth. Nothing counts as a booking until it is in there.
- Enter every booking at the moment you take it. A phone call or WhatsApp message goes into the calendar before you hang up or reply.
- Show only free rooms. When you create a booking, the system should offer rooms that are free for the dates chosen, so you never pick one by mistake.
- Connect your booking sites to that calendar. A channel manager sends your availability to Booking.com, Expedia, Airbnb and other sites, and brings their bookings back, so a sale on one side closes the room on the other.
- Treat moves and extensions like new bookings. Changing a room or adding a night should be checked against the calendar as well.
If you do not have a channel manager yet
You can still reduce the risk by hand. When you sell your last room of a type, close those dates on each booking site straight away, and re-open them if the booking is cancelled. It works, but it relies on someone remembering every time, which is why a channel manager is worth it as soon as you sell on more than one site.
How Oak helps
Oak keeps every booking on one calendar, Stay View, where you can book a room by dragging across the free nights and move a guest by dragging the booking to another room. The booking form only offers rooms that are free for the dates you choose. With the optional OTA Connect channel manager, availability and rates are synced with the booking sites you use, and their bookings arrive at your front desk. Your own booking page takes direct bookings with no commission, onto the same calendar.
