Terms of use

These are the terms for using Oak, in plain language. By using Oak you agree to them. Last updated 22 October 2026.

What Oak is

Oak is property management software for hotels, lodges and guesthouses, provided through oakpms.com. A property is the business that signs up; you means that property and the people it lets use its account.

Your account

  • The property is responsible for who it gives a login to, and for keeping passwords private.
  • What you put into Oak, such as rooms, rates and guest details, should be true and yours to use.
  • Tell us straight away if you think someone else has got into your account.

What it costs

Plans are priced in Tanzanian shillings by the number of rooms, and add-ons such as OTA Connect are priced separately. The current prices are on the pricing page. Billing is monthly and there is no contract. If a price is going to change, you are told first and it applies from the following month.

Stopping

You can stop at any time. Tell us by WhatsApp or email. You keep access until the end of the month you have paid for, and the month in progress is not refunded. If a payment is missed we will contact you first; after a reasonable notice an unpaid account can be suspended. For 30 days after an account ends you can still ask us for a copy of your data, and you can ask for it to be deleted at any time.

Your data

The property owns the data it puts into Oak, including its guest records. Oak holds it on the property's behalf so the property can run its business. The privacy page explains how it is handled.

What stays your responsibility

Oak is a tool for running your property, not an accountant, a tax adviser or a regulator. You are responsible for your rates and prices, the information you give guests, your taxes, your licences and any receipts the law requires you to issue. Oak records payments; it does not hold or move your money.

Other services Oak connects to

Oak can work with other services, such as booking sites, mobile money providers and door lock makers. Each has its own terms, and if one of them is unavailable or changes how it works, Oak cannot control that.

Availability and support

We work to keep Oak running and to fix problems quickly, and we will say when planned work is coming. We do not promise that it will never be interrupted. Support is by WhatsApp and email during working hours.

Using Oak properly

  • Use it only for running your own property, and only lawfully.
  • Do not try to see another property's data, break the service, or resell it without our agreement.

Where our responsibility ends

We are not responsible for indirect loss, such as lost profit, lost bookings or lost business, whether or not it could have been foreseen. Our total responsibility for any claim is limited to the fees you paid in the three months before it. Nothing here limits responsibility that the law does not allow to be limited.

Changes to these terms

If we change these terms, the new version goes on this page with a new date. If you keep using Oak after that, you accept the change. If you do not accept it, you can stop.

Which law applies

These terms are governed by the laws of Tanzania, and the courts of Tanzania decide any dispute. Before anyone goes to court, we agree to talk and try to settle it in good faith.
